Overview
Facility Permit Programs have fields in the Permit Attributes section to allow restrictions as to how early or how late a public registration is allowed - e.g. not less than 48 hours in advance or no more than 30 days in advance.
Public Reservation Lead Time (resident and non-resident) - No more than # Days in advance, Starting at (Fixed Time or Time of Event)
Public Reservation Lead Time (resident and non-resident) - No fewer than # Days in advance, Ending at (Fixed Time or Time of Event)
Limiting How Late
Organizations with Residency enabled have separate lead time fields for residents and non-residents. The non-resident lead times will work the same way as the existing resident fields.
To restrict how far in the future public users can make reservations, use the field Public Reservation Lead Time - No More Than (resident or non-resident.)
-
Enter the number of days after which you want to prevent registration. For example, if you don’t want public users to register for reservations more than 30 days from the day they register, enter 30.
-
Select whether the cutoff should be at a fixed time (ex: 6:00 PM), or based on the “Time of Event”
-
You may optionally enter an explanation of this limitation in the Reservation Instructions field to be displayed during registration. These instructions will display at the top of the Permit Schedule page.
For example, to prevent registrations more than 30 days in advance, and a public user is registering on June 15th:
- With Public Reservation Lead Time - No More Than = 30 days
-
If today is June 15, then June 16 is day 1, June 17 is day 2, ….. July 15 is day 30
-
Public users may register for today June 15th through July 14th without restriction (day 0 through day 29)
-
On July 15th (day 30)
-
If Starting At is set to “Time of Event”, public users registering today at 10:12 AM may request reservations on July 15th that start prior to 10:12 AM. Validation will not let them request reservations on July 15th that start after 10:12 AM.
-
If Starting At is set to a fixed time such as 6:00 PM, public users registering today after 6:00 PM may request reservations for any time on July 15th. Public users registering today prior to 6:00 PM will not be allowed to request reservations for July 15th at all.
-
-
Validation will prevent public users from registering for any date July 16th or later (day 31 and later)
Limiting How Early
Organizations with Residency enabled have separate lead time fields for residents and non-residents. The non-resident lead times will work the same way as the existing resident fields.
To restrict public users from making reservations in the next few days, use the field Public Reservation Lead Time - No Fewer Than (resident or non-resident.)
-
Enter the number of days indicating how much lead time you want before any public registration. For example, if you don’t want public users to register for reservations today, tomorrow, nor the day after tomorrow, enter 2.
-
Select whether the cutoff should be at a fixed time (ex: 1:00 PM), or based on the “Time of Event”
-
You may optionally enter an explanation of this limitation in the Reservation Instructions field to be displayed during registration. These instructions will display at the top of the Permit Schedule page.
For example, to prevent registrations for today, tomorrow, and the day after tomorrow, and a public user is registering on June 15th:
- With Public Reservation Lead Time - No Fewer Than = 2 days
-
If today is June 15 (day 0) then June 16 is day 1, and June 17 is day 2
-
Validation will prevent public users from registering today June 15th and tomorrow June 16th (day 0 through day 1)
-
On June 17th (day 2)
-
If Ending At is set to “Time of Event”, public users registering at 2:42 PM may request reservations on June 17th that start after 2:42 PM. Validation will not let them request reservations on June 17th that start before 2:42 PM. This is a rolling 72 hour cutoff.
-
If Ending At is set to a fixed time such as 11:00 AM, public users registering before 11:00 AM may request reservations for any time on June 17th. Public users registering after 11:00 AM will not be allowed to request reservations for June 17th at all.
-
-
Public users may register for June 18th or any day after without restriction (day 3 and later)
To prevent same-day registrations only, set Public Reservation Lead Time - No Fewer Than = 0 days, ending at 12:00 AM.
Estimated Number of Attendees
This field will now display for Facility Permit programs, allowing you to specify if attendee numbers are optional or required. This field will be visible only for programs with a "Traditional Wizard" registration process and will default to “No” when creating new programs.
